Job Description
The Event Coordinator will work closely with OxYGen Foundation project coordination team and the trainers for the development and implementation of planned trainings and/or other project events.

EVENT COORDINATOR for the series of training sessions within the framework of EU4Youth Project

JOB TITLE: Event Coordinator

Background information: “EU4Youth: Better Skills for Better Future” regional project (2018-2020) is implemented with financial support from the European Union in three countries: Armenia, Georgia and Ukraine. In Armenia the project is implemented by Save the Children International Armenian Representative Office in partnership with OxYGen Foundation for Protection of Youth and Women Rights.
Project Objective: The overall objective of the project is to promote the entrepreneurial potential of disadvantaged youth, to ensure their increased access to education and training opportunities for greater employability and to advocate for coherent and cross-sectorial youth policies at local, regional and national levels.

OxYGen Foundation for Protection of Youth and Women Rights (OxYGen Foundation) is Oxfam's spin-off organisation in Armenia. Registered in August 2015, OxYGen Foundation focuses its work in five key areas: Economic Justice, Gender Equality, Accountable Governance, Youth, and Resilience Building and Humanitarian Assistance.
Job Purpose: OxYGen Foundation has recruited a team of 12 trainers on transversal skills, youth work and entrepreneurship to conduct a series of trainings for young people from all over Armenia. The trainings will be organised with the aim of improving various skills of young people and youth workers, increasing self-confidence of the participants and building their capacity to increase their employment perspectives at the labor market. Trainings will concentrate on increasing knowledge, skills and attitude of young people towards their employability.
The training sessions and various project events will be conducted till end of December 2019. The Event Coordinator will be required to travel to different regions of Armenia and spend the time with the training participants on site, as well as actively engage in project events organization. A mobile cell phone number will be provided to the incumbent for facilitated work process.

DURATION: 8 months with possible extension

START DATE: May 1, 2019

LOCATION: Yerevan-based Office

OxYGen Foundation will sign deliverable based service contract with fixed daily rate of AMD 20.000 (including taxes) with the selected person until December 31, 2019. Payment will be done upon submission of Act of Acceptance at the end of each month based on the actual number of the days worked.

Job Responsibilities
-Prepare travel plan by linking people from the same town/village/region with each other for most efficient travel arrangements
-Address if any of the participants has any special needs (dietary, mobility, accompanying person, other) and coordinate with OxYGen team to provide the required support upon possibility
-Help with arrangement of transportation, reimbursement of travel expenses and arrival/departure of trainers and trainees
-Coordinate room distribution and possible accommodation-related issues during the trainings with hotel administration
-Make sure conference halls and training rooms are prepared well in advance of the trainings and all the required materials and equipment is available and is in working condition
-Make sure coffee breaks, lunches, dinners are ready/served in time and correspond to the required quality
-Coordinate with OxYGen team the timely order of stationery, printing of handouts (if needed), arrangement of technical equipment (laptop, projector, printer), or any other item in advance of the planned training
-Take photos of the working processes and informal networking to be used for project visibility purposes
-Collect pre-post assessments and evaluation forms after each training and provide to OxYGen Foundation team
-Provide report after each training on training implementation and expenditures, with recommendations for possible improvement where applicable
-Act diligently and politely following codes of conduct in conflict situations
-Provide any other type of logistical support that may be required by the trainers, trainees or organizers.
-Support the project coordination team in organizing other project events, upon necessity

Required Qualifications
-3 to 5 years’ experience in a position with similar tasks and responsibilities
-Practical skills in planning, organization and logistics
-Excellent knowledge of Armenian and English languages
-Ability to work with various groups of young people and with tight deadlines
-Ability to deliver results with minimum supervision
-Experience in organization of youth capacity building activities, events other experience in the youth field at local level is a plus
